What Canadian buyers should know

Firmex is headquartered in Toronto and lists a Canadian hosting region, which helps when a buyer or public body asks for data to stay in Canada. Pricing is by quote; ask for it in Canadian dollars and confirm GST or HST. Raise PIPEDA s. 7.2 business-transaction terms and, for Quebec data, a Law 25 s. 17 assessment, which a Canadian region can simplify. Ask about French-language support for Quebec parties.

Rows marked Flat or Per user start from the price each vendor lists in US dollars, turned into Canadian dollars at the Bank of Canada rate for October 16, 2026 (US$1 = C$1.4154) and taxed at your province's rate. Rows marked Estimate belong to vendors that keep prices private; for them we show the range we see for the kind of project you chose, which is not that vendor's own figure. For planning only.

The product in brief

Firmex dates from 2006, with its head office in Toronto. It is one of the few vendors in our list that publishes a Canadian hosting region, a point that matters to Canadian law firms, pension funds and public-sector buyers who are asked where data sits. The control set covers Q&A, dynamic watermarks, view and download rights, an activity log, 2-step login and in-room redaction, with SOC 2 and ISO 27001 listed.

On July 26, 2021, Datasite announced it had acquired 100% of Firmex. Firmex continues as a standalone business unit, and it has long been a familiar name among Canadian mid-market advisers, accounting firms and law firms. Ease of use is rated 9.0 and support 9.2 in our ratings, so occasional guests, such as a buyer's lawyer or a lender's analyst, tend to find their way around without training.

Pricing is by quote, and a free trial is offered so a team can build a test room first. No AI tools, public API, single sign-on, native mobile app or built-in e-signature appear in the vendor documentation we reviewed. For many mid-market deals those are not blockers, but enterprise IT teams that require single sign-on for every outside system should raise it early in the process.

Feature check

FeatureFirmexWhat it does
Q&A moduleYesBidders post questions inside the room; counsel or the CFO drafts the reply, someone approves it, and every exchange stays on file.
Activity logYesPer-user history of opens, prints and downloads with timestamps, which you can export for the closing binder.
Dynamic watermarksYesThe reader's identity and the date are printed across every page, which discourages screenshots and identifies the source of a leak.
In-room redactionYesHide social insurance numbers, pay figures or client names on the platform itself, without keeping two versions of the file.
E-signatureNot listedConfidentiality agreements and closing papers can be executed on the platform.
Mobile appNot listedAn installable phone or tablet app, beyond the responsive web view.
Public APINot listedProgrammatic access for creating rooms, adding users or exporting activity to other systems.
Single sign-onNot listedStaff log in with the company directory (Okta, Microsoft Entra ID and similar) instead of a separate password.
2-step loginYesLogins need a one-time code or authenticator approval on top of the password.
Bulk uploadYesUpload an entire set of nested folders at once, with the index numbers kept as they were.
View and download rightsYesChoose, document by document, whether a guest may only read, may print or may download, and change it later.

Security and compliance

Firmex lists SOC 2 and ISO 27001, 2-step login. For a Canadian deal, ask for the latest SOC 2 report or ISO certificate, a data processing agreement that covers PIPEDA, and for Quebec personal information, the details you need for a Law 25 privacy impact assessment.

Getting started and help

A free trial is offered, and a quote follows. Rooms can be set up by the client with bulk upload, which keeps folder trees and numbering. Support is rated 9.2 in our ratings. Ask whether hosting in the Canadian region is the default or must be requested for your room.

What to check before you sign

  1. Upload a real folder tree (minute books, financials, contracts) and check the numbering survives.
  2. Create two bidder groups and confirm neither can see the other's files, questions or activity.
  3. Open a watermarked PDF as a guest and print it: is the name, email and time on every page?
  4. Ask the vendor in writing where data is hosted and who the sub-processors are.
  5. Check whether invoices can be in Canadian dollars and how GST/HST is charged.
  6. Run one question through the Q&A workflow from a bidder to an expert and back.
  7. Export the activity log and check it is complete enough for a closing file.
