Rows marked Flat or Per user start from the price each vendor lists in US dollars, turned into Canadian dollars at the Bank of Canada rate for October 16, 2026 (US$1 = C$1.4154) and taxed at your province's rate. The product in brief

Box dates from 2005, with its head office in the United States. Many Canadian companies already use it for everyday file storage and sharing, so a deal team may find the tool already approved by IT. It lists a Canadian hosting region, single sign-on, a public API, a native mobile app, AI tools, e-signature, watermarks, an activity log, bulk upload and 2-step login.

For deal work it lacks some of what a dedicated room offers: no Q&A module, no in-room redaction and no view-and-download rights of the deal room kind appear in the vendor documentation we reviewed. Teams that use it for a transaction usually run buyer questions by email or a shared spreadsheet, and prepare redacted copies of sensitive files before they go into the shared folder.

The price is published per user, starting at US$15 a month, which converts to about C$21. A free trial is available. Certifications listed include SOC 2, ISO 27001, GDPR and HIPAA. For board papers, audits and internal projects it is a practical choice; for a contested auction most teams will want a purpose-built deal room with Q&A and per-file view rights.

Dynamic watermarksYesThe reader's identity and the date are printed across every page, which discourages screenshots and identifies the source of a leak.

Security and compliance

Box lists SOC 2 and ISO 27001 and HIPAA and GDPR, 2-step login and single sign-on. For a Canadian deal, ask for the latest SOC 2 report or ISO certificate, a data processing agreement that covers PIPEDA, and for Quebec personal information, the details you need for a Law 25 privacy impact assessment.

Getting started and help

Sign-up opens a free trial, and the per-user price is published. Admins create folders, connect SSO and invite external users. Bulk upload is listed for moving folder trees. Support is rated 7.5 in our ratings; ask the vendor which support level comes with your plan.

What to check before you sign

  1. Upload a real folder tree (minute books, financials, contracts) and check the numbering survives.
  2. Create two bidder groups and confirm neither can see the other's files, questions or activity.
  3. Open a watermarked PDF as a guest and print it: is the name, email and time on every page?
  4. Ask the vendor in writing where data is hosted and who the sub-processors are.
  5. Check whether invoices can be in Canadian dollars and how GST/HST is charged.
  6. Run one question through the Q&A workflow from a bidder to an expert and back.
  7. Export the activity log and check it is complete enough for a closing file.
